This Privacy Policy explains how Shree Taluka Borivali Sindhi Brahma Kshatriya Panchayat (“the Panchayat”, “we”, “us”) collects, uses, shares and protects personal data when you use our community directory mobile application, SBK Panch (“the App”).
We are the data fiduciary for this information under the Digital Personal Data Protection Act, 2023 (India). Our contact details are at the end of this policy.
1. Who can use the App
The App is a private directory for members of the Panchayat community. It is not open to the general public. Access requires an account that we approve, and all content within the App is visible only to signed-in, approved members.
The directory is compiled and maintained by the Panchayat. Members view their community’s entries in the App but do not add or change entries themselves. If something about your entry is wrong or you want it removed, please contact us and we will act on your request — see section 8.
2. Information we collect
Information recorded in your directory entry
- Identity — your full name, and any name you are commonly known by.
- Contact details — postal address, mobile and landline numbers, email address.
- Family relationships — how you are related to other members and to people in your household, such as spouse, parent, child or sibling.
- Household or family grouping — the family unit your entry belongs to.
- Date of birth.
- Occupation.
- Locality — the area or city you live in.
- Photograph — if one has been included in your entry.
- Correspondence — messages you send us for support or corrections.
These details are supplied to the Panchayat by you or by the head of your family, and are entered and kept up to date by Panchayat administrators.
Information collected automatically
- Account and sign-in records — when you registered, when you last signed in.
- Device and technical data — device type, operating system version, app version, and a device identifier used to keep you signed in and to send notifications.
- Diagnostic data — crash reports and error logs that help us fix faults.
Information about other people
Because this is a family directory, your entry may name relatives. Where a member supplies details about another person, they confirm to us that they are entitled to do so and that the person is aware their details appear in the directory. Any person named in the directory may ask us to correct or remove their details using the contact details below, whether or not they use the App themselves.
3. Why we use your information
- To maintain the community directory and let approved members find and contact one another.
- To show family relationships within the community.
- To verify that a person requesting access is a member of the community.
- To tell you about Panchayat events, poojas and announcements.
- To operate, secure and improve the App, and to investigate misuse.
- To meet legal obligations where they apply.
We do not use your information for advertising, we do not sell it, and we do not share it with data brokers.
4. Our lawful basis
We process your personal data on the basis of the consent you give when you register and when you add details to your entry. You may withdraw that consent at any time, as described in section 8. Withdrawing consent does not affect processing already carried out, and may mean we can no longer keep your entry in the directory.
5. Who can see your information
This is the most important thing to understand about the App.
- Other approved members can see your directory entry, including your name, contact details, photograph and family relationships. That is the purpose of a community directory.
- Committee members and administrators of the Panchayat can see and edit entries in order to keep the directory accurate.
- Service providers who host the App and its data, deliver notifications, or provide crash reporting, act on our instructions and may not use your data for their own purposes.
- Authorities, where we are required to disclose information by law or by an order of a court.
Your information is never made public on the open internet, and is not visible to anyone who is not an approved member.
6. Children’s information
A family entry may include children under 18. Where it does, the details are provided by a parent or lawful guardian, who consents on the child’s behalf. We do not allow anyone under 18 to hold their own account. We do not use children’s data for advertising, profiling or behavioural tracking of any kind. A parent or guardian may ask us to remove a child’s details at any time.
7. How long we keep it
We keep your directory entry for as long as you remain a member of the community and wish to be listed. If you delete your account, we remove your entry and personal details from the active directory promptly, and from our backups within 90 days. We may retain a minimal record where the law requires it.
8. Your rights and choices
Because entries are maintained by the Panchayat rather than edited by members, these rights are exercised by contacting us using the details in section 13. We will acknowledge your request and act on it within 30 days. You may at any time:
- See the information we hold about you, and a summary of how it is processed.
- Correct anything inaccurate, incomplete or out of date. Entries are maintained by Panchayat administrators, so please contact us and we will make the correction.
- Delete your account and your data. Contact us and we will close your account and remove your entry from the directory. You do not need to give a reason.
- Withdraw consent to our processing of your data.
- Nominate another person to exercise your rights in the event of your death or incapacity.
- Complain to us, and if unsatisfied, to the Data Protection Board of India.
9. Keeping your information safe
Access to the App requires a personal account. Data is transmitted over encrypted connections and stored on access-controlled servers. Only committee members and administrators who need access in order to maintain the directory are given it. No system is perfectly secure, but if a breach affects your personal data we will notify you and the Data Protection Board as the law requires.
10. Where your data is held
Your directory data is stored on servers located in India, provided by our hosting company BigRock. The only data that may be processed outside India is the email address and message content handled by our email provider when we send you a message, as described in the next section. Any such transfer is made only to countries permitted under Indian law and with appropriate safeguards in place.
11. Services we rely on
We rely on a small number of service providers, each of which processes data only as needed to provide its service to us:
- BigRock — hosting of the App’s servers and database, located in India.
- Resend — delivery of emails such as account verification and community notices. Resend receives the recipient email address and the content of the message, and may process it outside India.
We do not use advertising networks, and we do not use analytics or tracking software of any kind in the App.
12. Changes to this policy
If we change this policy we will update the date at the top and, where the change is significant, tell you in the App. Continuing to use the App after a change means you accept the updated policy.
